MAT Privacy Policy
The app helps a restaurant report an equipment problem in under a minute, and helps the technician fix it. This page explains, in plain words, what it collects while you do that, where the information goes, and how to get it removed.
1Who provides the app
MAT is built and operated by PRSoftware Services ("we", "us") as a reporting tool for crew and technicians at participating restaurants and businesses. MAT is an independent product of PRSoftware Services and is not published by, or affiliated with, any restaurant brand or equipment manufacturer named in the app.
The store directory, the people and the equipment list inside the app are entered by the participating company's administrator and by us at onboarding. Every person signs in with a username and password given by that administrator; a store uses one shared login.
2What the app collects
Everything below is collected only while you use the app, and only when the screen you are on needs it. The table shows each item, why the app needs it, where it goes and how long it stays.
| Information | Why the app needs it | Where it goes | How long it stays |
|---|---|---|---|
| Your accountusername, name, role, the stores you may see | Signs you in. Your name is shown as "Reported by" on a report, or as the technician on a job, so people know who to call. | your device our server | On the device until you sign out. On the server while the account exists; a deactivated account is kept only so its old tickets keep their history. |
| Locationone GPS reading when the report screen opens | Added to the report as coordinates so the site can be confirmed. | your device our server | Not stored on the device between uses. Kept on the server only as the coordinates inside a ticket. |
| Equipment and part photoscamera scan and parts lookup, taken with the camera or chosen from your photos | Sent through our server to our image-recognition provider to name the machine or the part and show the best matches. | image-recognition provider not stored on our server | Held in the app's memory while the screen is open and on our server only while the answer is produced. What is kept is a log line: who, when, and which machine or part was named, never the photo. |
| The reportequipment, steps ticked, outcome, comments, date and time, then the work order and its notes | Is the maintenance ticket. Lets the administrator and the technician see what was already tried and what was done. | our server | Kept on the server as a maintenance record with its status history. See section 8. |
| Technician timeclock-in and clock-out times on a job (technicians only) | Shows the administrator when a technician was on site and suggests the labor hours. | our server | Part of the job's history, kept with the ticket. |
| Notification tokena code your phone receives from Google Firebase when you allow notifications | Lets our server send "new report" and "new job" notifications to your phone. | your device our server Google Firebase | Until you sign out, your password is reset, or the phone stops accepting notifications. |
The app does not collect advertising IDs, contacts, or anything from other apps. The only device identifier it handles is the notification token above, which identifies the app on your phone and nothing else. The hours a store is open are entered by us and are not personal information.
3How it is used
- To build the report and the work order. Your account, the store, the location, the equipment, the steps you completed and your comments become the ticket; the administrator's decision, the technician's notes and clock-in times are added to it.
- To identify equipment and parts from a photo. The photo is compared with the store's equipment catalog, its reference photos and, for the parts lookup, the text of the equipment's manual, to return the most likely matches.
- To notify. A new report is pushed to the phones of the store's administrators, a job to the technician it was assigned to, a third-party repair request to us. The notification carries the equipment, the store and a short excerpt of the outcome or note.
- To keep a history and statistics per company. Tickets, work orders, time on site and costs are shown to your company's administrators as lists and charts. We see the same across companies to run the service.
- To keep the service working. Ordinary technical logs on the server (time, request, result), a log of each AI request (who, when, what was named) and a log of each notification sent help us fix problems and measure cost. They are not used to profile anyone.
The information is never used for advertising, marketing, or anything unrelated to equipment maintenance.
4Who receives it
Your report goes to the people who fix the equipment, and we use a small number of service providers to run the app. Each receives only what its job requires.
| Provider | Role | What it receives |
|---|---|---|
| Your company's administrators and techniciansthe people set up by your company | Receive and work on the report. | Administrators: the full ticket for every store of the company (name, store, coordinates, equipment, steps, outcome, comments, status history, time on site). Technicians: only the jobs assigned to them. |
| PRSoftware Servicesus | Run the service and handle third-party repair requests. | Everything above, for every customer company, plus the technical and AI logs. |
| Our image-recognition provideronly when you use the camera scan or the parts lookup, always through our server | Identifies the equipment or the part in your photo. | The photo, the text of the equipment catalog with reference photos and, for the parts lookup, the text of the relevant manual pages. No name, store or location is included. The photo is not kept after the answer is returned. |
| Google Firebaseonly when you allow notifications | Delivers notifications to Android phones and iPhones. | Your phone's notification token and the text of each notification (equipment, store, a short excerpt of the outcome or note). |
| Our hosting providersUnited States | Run our server and database. | Tickets, the store directory, people, equipment, checklists, manuals, and the encrypted traffic between the app and our server. |
| Google Play and Appleonly if you install through their stores | Install the app on your device. | Install, crash and device statistics under Google's and Apple's own policies. We do not add any crash or analytics library of our own. |
We do not sell personal information and we do not share it with anyone for their own marketing. We would disclose information if the law required it.
Our server and database are in the United States. If you use the app outside the United States, your information is transferred there.
5What stays on your device
So the app works with a weak signal, it keeps a few things locally in its own storage. Nothing here is visible to other apps. The app holds no key to any outside service: the image-recognition requests are made by our server.
- Your sign-in (a token) in your phone's secure storage, and your account profile (name, role, stores), until you sign out.
- A cached copy of the store directory, equipment list, checklists and equipment photos downloaded from our server, used when the server cannot be reached.
- Reports written without a connection, until they are sent.
- Manuals you opened (PDF files), in the app's cache.
- The notification token, so the app can tell our server to stop notifying this phone when you sign out.
- The app's connection settings for our server, kept in your phone's secure storage.
Uninstalling the app, or clearing its data in your phone's settings, removes all of it.
6What the app does not do
- Show ads or include advertising SDKs
- Include analytics or tracking libraries
- Track your location in the background
- Save your photos to our server
- Read your contacts, calendar or messages
- Use the microphone
- Sell or rent personal information
- Create advertising profiles
7Permissions
The app asks for each permission the first time the screen that needs it is opened. You can decline and still use the rest of the app.
| Permission | Used for | If you decline |
|---|---|---|
| Camera | Taking a photo of the equipment (camera scan) or of a part (parts lookup). | Use "Look up by name" or the kitchen map instead, or choose an existing photo. |
| PhotosAndroid: read images · iOS: photo library | Choosing an existing photo of the equipment or the part. | Take a new photo with the camera, or use the other ways to find the equipment. |
| Locationwhile using the app | Adding coordinates to the report so the site can be confirmed. | The report is sent without coordinates. |
| Notifications | Showing new reports (administrators) and new jobs (technicians) on your phone. | You see them in the app and in the portal instead; nothing else changes. |
| Internet | Loading data from our server, saving reports, the camera scan, the parts lookup and notifications. | Not a prompt on either platform. Without a connection the app uses the copy of the data already on your phone; the camera scan and the parts lookup need a connection. |
8Retention and deletion
- On your device. Everything in section 5 stays until you sign out, clear the app's data, or uninstall.
- Tickets and work orders on our server. Kept as maintenance records for as long as the participating company needs the history of its equipment, including the technician's notes and clock-in times. When a ticket is no longer needed we delete it or remove the reporter's name and coordinates from it.
- Photos. Not kept by us at all. They exist only in the app's memory while you are on the screen, on our server while the answer is produced, and with our image-recognition provider only for the moment it takes to answer.
- AI and notification logs. Who asked, when, which machine or part was named, and who was notified of what. Kept with the tickets; no photo and no notification content beyond the subject line.
- Notification tokens. Deleted when you sign out, when your password is reset, or when the phone stops accepting notifications.
- Server logs. Rotated routinely and kept only as long as needed for troubleshooting.
To have your name removed from tickets, or tickets deleted, write to us at the address in section 13. We answer within 30 days.
9Security
- All traffic between the app and our server is encrypted (HTTPS); the app refuses unencrypted connections. Our server talks to the image-recognition provider, Google Firebase and the database over encrypted connections too.
- Passwords are stored only in a scrambled form that cannot be read back. Resetting a password signs that person out of every device. A removed account is locked out immediately.
- The app carries no key to any outside service; the image-recognition requests are made by our server, which also limits how many requests a device can make.
- Our database is not open to the internet; only our server can reach it, and the server answers only signed-in people. The database provider encrypts the stored data and keeps backups.
No system is perfectly secure. If we learn of a breach affecting your information we will tell the participating restaurant and, where required, you.
10Children
MAT is a workplace tool for restaurant crew. It is not directed at children under 13, and we do not knowingly collect information from them. If you believe a child has used the app, contact us and we will delete the information.
11Your choices and rights
- Sign out. Ends the session on that device and stops notifications to it.
- Turn off notifications. Decline the permission, or switch them off in your phone's settings. You still see everything in the app and in the portal.
- Turn off location. Decline the permission or switch it off in your phone's settings. The report is sent without coordinates.
- Skip the camera. Look the equipment up by name or on the kitchen map.
- Access, correct or delete. Ask us for a copy of the tickets that carry your name, ask us to correct them, or ask us to delete them or remove your name. We honor these requests from anyone, wherever you live. If you are in a place whose law gives you additional rights, you have those too.
12Changes
When the app changes what it collects, we update this page and the effective date at the top. October 22, 2026: added push notifications, the parts lookup and technician clock-in; the camera scan now goes through our server; the earlier e-mail and text-message sending and crew PINs are gone.
